Sri Ram Educational and Welfare Trust (“Trust”, “we”, “our”, or “us”) is committed to maintaining transparency regarding refunds, cancellations, admissions, subscriptions, and fee payments. This Refund and Cancellation Policy governs all payments made through the website and associated online or offline channels.


1. General Policy

All payments made to Sri Ram Educational and Welfare Trust, including but not limited to admission fees, registration fees, tuition fees, examination fees, training fees, subscription fees, donations, event fees, and service charges, shall be governed by this Refund and Cancellation Policy.

Refund requests shall be considered only when submitted in writing through email or an authorized application process.

The Trust reserves the right to approve or reject refund requests based on applicable rules, regulations, and circumstances.


2. Admission Cancellation and Fee Refund

2.1 Cancellation Before Confirmation of Admission

Where an applicant withdraws the admission application before admission confirmation, the Trust may refund the amount paid after deducting:

  • Registration fee;

  • Application processing fee;

  • Bank/payment gateway charges;

  • Administrative expenses.

The balance amount, if applicable, shall be refunded within 30 working days.


2.2 Cancellation After Admission Confirmation

If a student seeks cancellation after admission has been confirmed:

Within 15 Days of Admission

  • Tuition fee may be refunded after deduction of:

    • Registration fee;

    • Admission fee;

    • Processing charges;

    • Applicable taxes and payment gateway charges.

After Commencement of Classes

If classes have commenced, refund eligibility shall be determined based on:

  • Duration attended;

  • Academic resources utilized;

  • Administrative expenses incurred.

The Trust may deduct proportionate tuition fees and applicable charges before processing any refund.


2.3 No Refund Situations

No refund shall ordinarily be granted in the following cases:

  • Submission of false or misleading information.

  • Disciplinary action resulting in suspension or expulsion.

  • Violation of institutional rules.

  • Failure to attend classes after admission.

  • Failure to submit required documents within stipulated timelines.

  • Voluntary discontinuation after completion of a substantial portion of the course.

  • Scholarships or concessions withdrawn due to non-compliance.


3. Tuition Fee Refund

Where tuition fees are paid semester-wise, yearly, monthly, or in installments:

  • Refund requests shall be evaluated based on the period of study completed.

  • Fees relating to completed academic periods shall not be refunded.

  • Fees for future academic periods may be refunded after adjustment of dues, penalties, and administrative expenses.

The Trust reserves the right to recover any outstanding liabilities before issuing a refund.


4. Training Programs, Workshops and Skill Development Courses

For workshops, certificate programs, vocational training, seminars, conferences, and skill development programs:

Cancellation by Participant

  • More than 15 days before commencement: Up to 80% refund.

  • Between 7 and 15 days before commencement: Up to 50% refund.

  • Less than 7 days before commencement: No refund.

Non-Attendance

Failure to attend a program shall not automatically entitle the participant to a refund.


5. Subscription Services

Where the Trust provides digital subscriptions, membership services, learning portals, online resources, newsletters, e-learning platforms, or similar services:

5.1 Subscription Cancellation

Users may cancel their subscription at any time.

Cancellation shall stop future recurring payments but shall not automatically entitle the user to a refund of amounts already paid.


5.2 Refund of Subscription Fees

Subscription fees are generally non-refundable once:

  • Access credentials have been issued;

  • Digital content has been accessed;

  • Services have commenced.

Exceptions may be considered where:

  • Duplicate payment has occurred;

  • Technical issues prevented access to services;

  • Payment was charged incorrectly.


6. Hostel, Accommodation and Residential Facilities

Where hostel or accommodation facilities are provided:

  • Security deposits may be refundable subject to inspection and adjustment of dues.

  • Charges for occupied periods shall be deducted.

  • Damages, unpaid dues, and maintenance charges may be adjusted before refund.

Refund timelines may vary depending on completion of clearance formalities.


7. Examination Fees

Examination fees, assessment fees, certification fees, practical examination fees, and related charges are generally non-refundable once:

  • Examination forms have been processed;

  • Examination registration has been completed;

  • Admit cards have been generated.

Exceptions may be considered where the examination is cancelled by the Trust.


8. Donations

Donations made voluntarily to Sri Ram Educational and Welfare Trust are generally non-refundable.

However, refunds may be considered in exceptional circumstances such as:

  • Duplicate transactions;

  • Technical payment errors;

  • Unauthorized transactions verified by the payment provider.

Supporting documentation may be required.


9. Cancellation by the Trust

The Trust reserves the right to cancel:

  • Courses;

  • Programs;

  • Workshops;

  • Events;

  • Subscription services;

  • Educational activities;

due to operational, academic, legal, regulatory, or force majeure reasons.

In such cases, the Trust may:

  • Provide a full or partial refund; or

  • Offer alternative enrollment, rescheduling, credit, or transfer options.

The decision of the Trust shall be final and binding.


10. Refund Processing

Approved refunds shall generally be processed:

  • Within 15 to 30 working days from approval;

  • Through the original mode of payment where feasible;

  • Subject to verification of payment records.

The Trust shall not be responsible for delays caused by:

  • Banks;

  • Payment gateways;

  • Technical failures;

  • Incorrect account information provided by the applicant.


11. Chargebacks and Payment Disputes

Users are encouraged to contact the Trust before initiating chargebacks or payment disputes.

If a chargeback is initiated without prior communication, the Trust reserves the right to:

  • Suspend access to services;

  • Withhold certificates, results, or records where legally permissible;

  • Recover administrative costs associated with dispute resolution.


12. Force Majeure

Refund obligations may be affected by circumstances beyond the reasonable control of the Trust, including:

  • Natural disasters;

  • Floods;

  • Earthquakes;

  • Epidemics or pandemics;

  • Government restrictions;

  • Court orders;

  • Technical infrastructure failures;

  • Civil unrest or other force majeure events.
